Kopiway operates a unique multi-layer distribution model: a central production hub processes raw green coffee beans through roasting and packaging, then distributes finished product to two retail stores and 13+ partner-operated electric carts across the city. Each cart is run by a mitra (partner) who earns commission per sale. On top of this, Kopiway also serves B2B wholesale clients and manages its own staff payroll.
Without a unified system, tracking stock from raw material to final cup, reconciling partner cart sales, calculating commissions, managing production runs, and producing accurate financial statements required manual work across spreadsheets — creating gaps in data accuracy, slow settlement cycles, and no real-time visibility across the full operation.
Raw green beans → roasted beans → packaged product → dispensed liters → cups sold. Each conversion step was untracked — no visibility into yield, waste, or cost per cup.
13+ gerobak mitra each selling independently — no standardized POS, no automated commission calculation, no consolidated daily settlement.
Stock at the production center, Store 1, Store 2, and each cart had no shared visibility — internal requests and dispatch were manual and error-prone.
With revenue from retail, B2B, online orders, and partner carts — plus procurement costs, payroll, and commissions — producing a P&L was a slow, manual process.
We designed and built a fully custom ERP system for Kopiway — purpose-built for the F&B multi-outlet model with partner cart distribution. The system covers six operational centers — Inventory, Production, Purchasing, Sales, Finance, and Reporting — all connected to a single data layer, with a whitelabel POS terminal for each outlet and cart, and a management dashboard for full visibility across the entire operation.

Each Kopiway outlet and partner cart runs its own instance of the whitelabel POS terminal — configured per location with the relevant product catalog, pricing, and shift settings. Sales are recorded in real time and synced to the central ERP, so every cup sold at any cart immediately reflects in the inventory, settlement, and financial system.
At the end of each shift, the system generates a shift summary — total transactions, cash in/out, and reconciliation against expected sales. For partner carts (mitra), commission is calculated automatically based on daily settled sales — eliminating manual calculation and reducing settlement disputes.
B2B and wholesale orders are managed through a separate portal with customer-specific pricing, receivables tracking, and debt aging — keeping the commercial business cleanly separated from retail operations.
